About This Policy
This policy sets out the principles that govern how AI Springboard uses AI tools in its own work. It is a statement of principle, not a data-processing notice: the detail of how we handle personal data sits in our Privacy Policy and Client Data Protection Policy, which take precedence over this document on that point.
Why We Publish This
AI Springboard exists to help organisations adopt AI safely, effectively and at their own pace. We think it matters that we hold ourselves to the same standard we advise our clients to meet, so this policy sets out, in plain terms, how and where we use AI in delivering our own services.
How We Use AI Tools
We may use AI-assisted tools to support activities such as:
- research and background reading
- drafting training materials and learning resources
- analysing anonymised feedback
- summarising notes and workshop outputs
- supporting the preparation of AI Readiness Reports and other client deliverables
In every case, AI tools support our work; they do not replace the professional judgement behind it.
Our Principles
- Purpose before technology: we use AI where it genuinely helps, not because it is available. Deciding when not to use AI is as much a part of our advice as deciding when to use it.
- Human oversight: every deliverable we produce is reviewed and approved by a person before it reaches a client. We do not use automated decision-making that produces legal or similarly significant effects on individuals.
- Data minimisation: we share only the information an AI tool needs to complete a specific task, and avoid putting sensitive or special category data into general-purpose AI tools.
- No training of third-party models on client data: we do not permit client data to be used by our AI tool providers to train their models.
- Confidentiality: where practicable, we use business-grade AI tools with contractual data protection terms, rather than free consumer tools, for any work involving client information.
- Transparency: where AI has played a significant part in producing something a client relies on, we are open about that on request.
Tools We Currently Use
We currently make use of AI tools provided by Microsoft (including within Microsoft 365), OpenAI and Anthropic. This list may change as tools evolve; our Privacy Policy holds the up-to-date list of service providers we share data with.
What We Don’t Use AI For
- Final professional judgement and recommendations, which remain ours alone
- Deciding whether AI is the right answer for a client’s specific situation
- Anything that could introduce a compliance or ethical risk without our explicit review
Keeping Pace with Regulation
AI regulation is moving quickly, and we track developments relevant to our own use of AI as well as to the advice we give clients. The EU AI Act’s transparency obligations, for example, take effect from 2 August 2026 and will shape how organisations disclose AI-generated content and AI-driven interactions. We will review and update this policy as the regulatory picture develops.
